How do I know if I am a local FileHold user?
A local FileHold user is a user that authenticates against information contained in the FileHold database. At the username and password login prompt, you may see an option to select a domain.
If this option is set to “Local FileHold account” when you login, you are a local FileHold user. If you have the option to change your password from the user preferences page, you are a local FileHold user.
In the web client user preferences, you will see the Source set to “This is a locally managed user account.”.
I cannot see some documents in FileHold
Depending on permissions, you may or may not have access to particular documents in the FileHold library. If you think that you should have access to documents that you cannot see, do the following steps:
- Contact your library administrator and/or system administrator and let them know what documents you should be able to view in the library.
- The system administrator can check to ensure that you are placed in the proper security groups.
- The library administrator can check to ensure that you have access to the proper cabinets and folders and membership to the schema.
How do I reset my password if I am not a local FileHold user?
The method to reset your password will depend on how you are authenticated. You may do it directly on your Windows workstation or in Microsoft 365 or using another method. Check with your information technology team to find out the correct method for your user.
I am an admin, how do I reset a users password?
If you are a FileHold system administrator, you have two methods to reset local FileHold users passwords.
You can directly edit a single user’s password to any value allowed by your password security settings. You can also send an email to one or more users with password reset information. Finally, you can configure a password expiration time or duration so the system automatically prompts users to change their password.

We lost our admin password, how do we recover it?
A system administration password is a special case in FileHold. Ideally you would have more than one system administrator and if one needs a password reset, the other can make the change. However, what if there is no second system administrator or no one seems to know who the system administrator is?
